Job Description • Receptionist.

Duties:

•    The receptionist will provide front desk coverage as well as working with the Administrative team to support departments.
•    The receptionist will have general administrative responsibilities and will also help with the coordination and communication of all company events.

Responsibilities:

1. General Administration
a. Provide general office and administrative support, including producing documents, spreadsheets and presentations, data entry, faxing, filing, copying, shredding, printing, distributing, and mailing.
b. Maintain company lists, seating charts, birthday lists
c. Assist with mass mailings
d. Assist with general facilities / operations: ID’s, security system data entry, office/workstation set up
e. Submit facilities requests regarding HVAC, cleaning and maintenance
f. Coordinate the ordering and stocking of all supplies (café and copy rooms)

2. Reception
a. Greet incoming clients and guests and see that they get to the proper person.
b. Answer and screen overflow incoming telephone calls and refer to proper employee for handling.
c. Register visitors with building security.
d. Sort and distribute incoming mail.
e. Process outgoing mail, USPS, UPS, and Federal Express.
f. Maintain conference rooms (seating setup, supplies and beverages, whiteboards) and ensure general cleanliness and upkeep

3. Company Events
a. Assist in the coordination of in-house meetings, including arranging meals and providing beverages.
b. Assist committee with special events:  research suppliers, venues, and costs; assist with event implementation and all communications

4. Other, as assigned.


Required Skill:
• Advanced knowledge of Microsoft Office applications required (Word, Excel, PowerPoint, Outlook)

• 2+ years of office support experience

Preferred Skills:
• BA/BS degree preferred.
